Parent Teacher Organization (PTO) January 12, 2007

 

BHPS PTO Job Descriptions

The italicized portions are actually contained in our by-laws. The lists under Duties have been added. The offices of Vice President and Volunteer Coordinator are not specifically mentioned in the by-laws. Article IV, Section 1 states that, "Such other officers as may be deemed necessary may be elected or appointed by the board of directors".

President

By-laws: "The President shall serve as head of the board of directors. The president shall have the authority to attend to the day activities of the corporation and carry out the instructions of the board."

Duties:

    1. Prepares agenda for monthly PTO meeting.
    2. Provide leadership and guidance for PTO officers and scheduled projects.
    3. Communicate on a weekly basis with the Administration.
    4. Meet with Principal prior to monthly PTO meeting to discuss agenda.
    5. If President is unable to attend the PTO meeting, he/she will delegate that responsibility to the Vice President or Treasurer.
    6. Schedule a meeting with officers and room parents early in the year to discuss upcoming events and expectations.
    7. Schedule a meeting with officers during the summer to prepare for upcoming school year.

Vice President

Duties:

    1. The Vice-President will attend the monthly PTO meetings, and be prepared to run the meeting if the President is not able to attend.
    2. Oversee the preparation of the School Directory.
    3. Assist with the duties of the other officers as needed.
    4. Organize child care for monthly PTO meetings.
    5. Arrange classroom for monthly PTO meeting, making sure paper items, cups, ice and pizza are in the class room.

Secretary

By-laws: "The Secretary shall preserve the records of the corporation, maintaining a file of all minutes and written materials produced by and for the corporation."

Duties:

    1. The Secretary will attend the monthly PTO meetings, and prepare written minutes for approval. To be maintained in a notebook and/or be posted in the school website.
    2. Prepare a PTO article that includes the minutes of the meeting that will be distributed at least monthly. Other newsletters may be distributed as deemed necessary.
    3. Request a copy of all other written communication prepared by any officer of the Board to be included in the file.
    4. Write at least a monthly article to be included in the Friday Fact.

 

Treasurer

By-laws: "The Treasurer shall maintain the financial books of the corporation, compiling all the income and expenses for review by the board."

Duties:

    1. The Treasurer will attend the monthly PTO meetings, present the current financial report for review, and answer any questions.
    2. Record financial contributions and moneys collected through fundraising efforts, and prepare them for deposit.
    3. Maintain a notebook or file of all financial records, reports, and statements.
    4. Sign checks
    5. Treasurer should order the pizza and drinks for the monthly PTO meetings.

Room Parent

Duties:

    1. Room Parents will attend the monthly PTO meetings, or assign representative from classroom to attend the meeting and report back to room parent and parents.
    2. Schedule meeting with teacher first month of school to find out what the teacher expects from you.
    3. Prepare classroom phone tree for events and/or emergencies.
    4. Review school calendar to prepare for upcoming events.
    5. Contact parents to get them involved in classroom events and other events, and assign jobs as needed
    6. Work closely with teacher to organize classroom parties (Selecting theme; preparing sign-up sheets for food, games and donations, if needed; etc.)
    7. Assist teacher with end of the year performance, if needed.
    8. Help count "Box Top" and "Soup Labels" (ongoing fundraisers), and encourage parents to be involved with these programs.
    9. If unable to handle all events, assign a "Room Parent Assistant" to help.
